How to record public meeting for web use?

What hardware/software/techniques would you recommend be used to capture the speech of a public official who is speaking at a public meeting?

I want to share the audio with others who are unable to attend the meeting.

This is not an illegal activity.

Venue: Hotel conference room with 300 or more present.
Audio: Will be thru the hotel audio system
Format: Initally will be a speech, but followed by a Q&A with all parties using microphones.

Goal: Capture the audio and post it online.

I've never done anything like this before, any suggestions?

Audacity does the job.
